APPLICATION FOR MEMBERSHIP

PART I – PROCEDURE

 

1. This form of application is in four parts, of which three follow this page, and it contains all of the procedures necessary for the submission and processing of the application through to election of membership.
2. Election to membership will occur only at a meeting of the Directors. In considering all applications prepared in good order, as hereinafter described, the Directors will have regard, not only for the merits of the application, but also for all factors concerning the interests of the Club, including the current level of membership.  Except when expressly otherwise decided by the Directors, each and every application considered at the said meeting will automatically expire thereat with the application being then marked – “Accepted” or “Not Accepted”.
3. In proposing a candidate for membership, the following procedure will be followed:

(a)The member to be the proposer will fill out Part II hereof and obtain the signature of the member to be the seconder.

 

(b)The application will then be forwarded to the Membership Chairman, preferably under cover of a transmittal.

 

4. In processing the application, the following procedure will be followed:

 

• Upon receipt of an application the Membership Chairman will notify the President or, failing him, the Vice-President or, failing him, another Director to determine if the application should then be sent to the members for comment with subsequent submission to a meeting of the Directors.

 

• When so determined, the Membership Chairman will make photographic reproductions of the reverse side hereof with the reply date (two weeks after mailing date) marked on and transmit/mail a copy to each member.

 

• Members wishing to comment must ensure that their comments are in the hands of the Membership Chairman not later than three calendar days after the reply date and that they are made on Part III of the form at least to the extent desired by the member. Additional comments may be made verbally to the Membership Chairman or to any Director as desired.

 

• All comments by members will be kept in confidence. The aforesaid verbal comments will also be presented to the meeting by the Membership Chairman or other Director but any notes thereon will be destroyed at the meeting.

 

5. Upon the application being accepted, the following procedure will be followed with respect to the new member:

 

• The President will inform the applicant of the election to membership.

 

• The President will write a letter of welcome with copies to the proposer and seconder.

 

• The secretary will send copies of all current membership literature.

 

• The Treasurer will send an invoice for all fees and other amounts thereupon due.
